1. When you first enter into the Aged Accounts Receivable option, a Select An Option window appears which allows you to EXIT the option or print an aged accounts receivable report sorted: BY CUSTOMER, BY CUSTOMER CLASS, BY SALES REP, BY BROKER, or BY ROUTE. Select the sort method you desire by double clicking on it or highlighting the option and pressing Enter.
If you've selected to sort by customer, enter the customer ID or mask to select the customer or customers to include on the report. If you select customer class, sales rep, broker, or route, select one, several, or all options to include on the report.
If you are uncertain of the customer code, see Navigating Net Yield - Selecting a Customer ID Code.
2. Enter the sort criteria for the report.
3. In the Aged as of field, enter the aged as of date--the report will age the open accounts receivable transactions as of this date.
Note: Changing the date to a prior date will only age the current balances as of the date entered. It will not recreate the report as for this date. To re-print a report for a prior date, the report must be printed from the Print End of Day option and selecting the aged receivables report from the appropriate End of Day folder.
4. At the (S)ummary or (D)etail field, enter S (S=summary) to print the report with customer totals by aging column only; select D (D=detail) to include the individual transaction detail for each. The open transactions include all invoices, credit invoices, debit memos, credit memos, hand prepared invoices, finance charges, and unapplied cash payments for the customer.
5. At the Include Open Orders and Unposted Invoices (Y/N) field, Y=yes, include the total of any open orders or un-posted invoices along with the summary totals by aging column of all open transactions.
6. At the (I)nvoice or (T)erms field, select I (I=invoice) to age the open transactions based on the transaction date. Select T (T=terms) to age the report based on the terms or payment due date.
7. Aging Columns 1-5 show the initial number of days up to XX days past are set up in Receivable Options. If new days overdue are required for this report, the aging days can be changed for each of the aging buckets. All successive aging buckets must be increased to match the new limit accordingly.
8. At the Terms type field, select the terms type to include on the report. Select ALL to include all terms types or select the single terms type to include on the report.
9. The Include Days Past Terms field allows you to specify a number of days past the terms or invoice aging date to include on the report. This would be used to create an exception report for only customers XX days past due. Enter 0 to include all customers.
10. The Include $ Over Credit Limit field allows you to specify a dollar value over the credit limit to include on the report. By entering a value here, you can create an exception report for only the customers $XX over the credit limit assigned to the customer in Customer Credit. Enter 0 to include all customers.
11. At the Print Phone Number (Y/N) field specify whether you want the customer's phone number 1 to print on the report.
12. The message "Continue with Report? No/Yes" will appear; select yes to process the aged receivables report, select no to start over and change your selection criteria.
